Position Summary

The University of Southern Indiana is accepting applications for Distribution Services Assistant.

Timely receipt, transport, sorting, delivery and collection of mail, inter-office mail, packages and freight to over seventy college and department mailroom locations. Efficient preparation of shipments and all documents related to such shipments. Maintain account system to support charge-back billing to three hundred budget accounts.

Duties/Responsibilities 

  • Receive and transport all incoming mail from the U.S.P.S.

  • Receive and check in freight and packages into campus tracking/delivery system(s).

  • Manually sort and case or consign all campus incoming mail and shipments to the appropriate college or department mailroom location.

  • Deliver sorted mail to mailrooms and obtain electronic signature of delivery for all packages and freight.

  • Collect outgoing mail and shipments from college or department mailrooms.

  • Assist Mailroom Technician with preparation and processing of campus bulk mailings. Assist Warehouse Technician with acceptance and delivery of packages, freight and other deliverables.

  • Determine the correct mail class / processing category for all outgoing mail and packages. Affix correct postage, complete correct documents and include correct markings on all outbound shipments.

  • Interpret customer delivery service needs for outgoing packages or freight shipments and finalize shipments through campus outbound freight shipping system(s).

    Review all outgoing mail and shipments to:
    • ensure valid departmental account numbers are indicated for each shipment.
    • ensure mail or packages paid by University are for business purposes.
    • ensure addressing information meets USPS standards and is a deliverable address.

  • Perform campus delivery of products produced by University Creative and Print department.

  • Fulfill, deliver and maintain inventory of copy paper orders for fleet copy equipment.

  • Fulfill and deliver custodial supply orders to custodial supply closets.

  • Collect recycled print cartridges.

  • Complete and document inspection of campus fire extinguisher equipment. Coordinate repair or replacement of equipment.

  • Generate reports documenting outbound mail, postage spends, and the quantity of inbound and outbound package and freight shipments.

  • Support light maintenance of mailing, delivery equipment and vehicles utilized by Distribution Services.

  • Inspect receivables for damage and maintain a secure work environment in order to promote security of the campus mail system. Maintain clean and organized warehouse, mailroom and work areas.


Required Knowledge and Skills

  • High school diploma or GED required.

  • Experience working with inventory or delivery handling systems.

  • Excellent customer service skills are required to facilitate communication and interaction with all staff, faculty and administrative personnel in all departments and colleges.

  • Working knowledge of computers, internet, word processing, spreadsheets, databases, and email required.

  • Must have a valid driver’s license and the ability to operate campus fleet vehicles. Must have, or be able to obtain, fork lift and electric pallet jack certification.


Preferred Knowledge and Skills

  • One year of mailroom or delivery experience preferred.

  • Experience working with mail processing equipment; including but not limited to postage meter, offline mailer and folder / inserter is preferred.


Regular Work Hours/Travel Requirements

  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Irregular hours and overtime may be required, including times when the University is closed.
  • Frequent travel within the local area (15 miles) required.
